We are Mo-Sys Solutions Ltd, a company registered in England and Wales with a company number 17269527, we are a Data Controller and will be responsible for your personal data. This Cookie Policy explains what Cookies and similar technologies are, which ones we use on our website, what information they collect, how we use that information and how you can control your choices.

Cookies and Tracking Mechanics

Cookies are used on this website to distinguish one user of the website from another. This helps us to provide you with a good experience when browsing our website and allows us to improve our site.

A cookie is a small file of letters and numbers that we store on your browser or hard drive of your computer if you agree. Cookies contain information that is transferred to your computer's hard drive.

We may use the following types of cookies on our website:

Necessary: These cookies are essential for the operation of our website to enable core functionality, page navigation, and secure areas. The site cannot function properly without them.

Performance: These cookies help us count site visits, understand how visitors interact with our pages, and identify technical bottlenecks to improve overall site performance.

Social Media & Tracking: Used by social platforms, ad networks, and CRM tools to build a profile of your interests, measure ad performance, and deliver relevant promotions on third-party channels. This includes browser scripts (such as Meta Pixel) and server-side conversion tracking (Meta Conversions API).

Google Analytics

We use Google Analytics 4 (GA4), a web analytics service provided by Google LLC ("Google"), to help us analyse how visitors engage with our website.

What is collected: Google Analytics collects information automatically from your browser, such as your IP address (anonymized/truncated prior to storage), browser type, device information, pages visited, time spent on pages, and referring URLs.

Cookies Used:

  • _ga – distinguishes unique visitors. [Lifespan: 2 years]
  • _ga_* – retains user session status across pages. [Lifespan: 2 years]

Why we use it: To aggregate statistics on site performance, user engagement, and navigation patterns so we can optimize our content and user experience.

Legal basis: We rely on your consent to place Google Analytics cookies. No analytics data is collected via GA4 unless you accept non-essential/performance cookies via our cookie banner.

Who receives it: Google processes this data as a processor on our behalf. User-level event data retained by Google Analytics is automatically deleted after 14 months. You can learn more about how Google uses data in Google's Privacy & Terms.

Meta

We use the Meta Pixel and Meta Conversions API (CAPI), tools provided by Meta Platforms, Inc. ("Meta"), to measure the effectiveness of our advertising and understand how visitors interact with our website.

What is collected: When you visit our website, information about your visit — such as the pages you view, actions you take (for example, submitting a form, starting a chat, or viewing certain content), your IP address, browser and device information and referring page may be shared with Meta. This may include information sent via cookies (such as _fbp and _fbc) as well as, where enabled, hashed contact information (such as a hashed email address or phone number) through Meta's Advanced Matching feature.

Cookies used:

Meta sets the following Social Media & Tracking cookies via the Meta Pixel:

  • _fbp – used by Meta/Facebook Pixel to measure ad performance, track conversions, and deliver targeted ads across Meta platforms. [Domain: mo-sys.com | Lifespan: Up to 90 days]
  • _fbc – stores ad click parameters to attribute website visits and conversions back to specific Meta ad campaigns. [Domain: mo-sys.com | Lifespan: Up to 90 days]

How it's collected:

  • Meta Pixel: a script that runs in your browser and sends this information directly to Meta.
  • Meta Conversions API (CAPI): a server-to-server connection that sends the same event information as the Meta Pixel, directly from our servers to Meta. CAPI does not fire independently of your cookie consent, it only sends data for visitors who have already accepted non-essential cookies, in the same way as the Meta Pixel. Its purpose is to improve the reliability and accuracy of that already-consented data reaching Meta in situations where the browser-based Pixel alone might be blocked or limited (for example, by an ad blocker, or a user's device-level setting such as disabling cross-app tracking for Meta's own apps), not to collect any additional data, or to collect data from anyone who has declined cookies. Identifying fields such as email and phone number are hashed by our servers before being sent to Meta. We do not intentionally store this data beyond what is necessary to transmit it to Meta, and any incidental technical logging (such as standard server or hosting logs) is retained only for the short period necessary for security and operational purposes, in line with our data retention practices. 

Why we use it: This data helps us measure the performance of our advertising campaigns, build audiences for advertising purposes and improve our marketing based on how people use our site.

Who receives it: Meta Platforms, Inc. (and, for users in the EU/EEA/UK, Meta Platforms Ireland Limited) receives this data as an independent controller for its own purposes, in addition to processing it on our behalf. You can learn more about how Meta handles this data in Meta's Privacy Policy and Cookies Policy.

Retention: Meta's standard advertising cookies, such as _fbp and _fbc, are generally retained for up to 90 days. Where we retain a copy of event data on our own servers in connection with the Conversions API, we do so only for as long as necessary for measurement, deduplication and troubleshooting purposes and in line with our data retention practices.

Sale/Sharing of Personal Information (CCPA/CPRA)

Under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), sharing information with Meta through tools like the Meta Pixel and Conversions API for advertising purposes may be considered a "sale" or "sharing" of personal information for cross-context behavioural advertising.

We do not sell personal information for money. However, our use of Meta's advertising tools may constitute "sharing" as defined under California law. You can opt out of this sharing at any time via "Your Cookie Choices" below, or by enabling the Global Privacy Control (GPC) signal in your browser, which we honour. You can also review and adjust how Meta itself uses data associated with you through Meta's Ad Preferences.

Legal Basis

If you are located in the European Economic Area or United Kingdom, we rely on your consent as the legal basis for using the Meta Pixel and Meta Conversions API for advertising purposes. These tools will not load, and no data will be sent to Meta, until you provide consent. You may withdraw your consent at any time via "Your Cookie Choices" below, which will stop future data collection through these tools (though it cannot retroactively delete data already processed). 

Meta Platforms Ireland Limited acts as an independent controller for the data it receives via the Pixel and CAPI, in addition to our own role as controller for the collection on our website. Meta processes this data under its own privacy policy, linked above.

HubSpot

We use HubSpot, Inc. as our customer relationship management (CRM) and marketing platform. HubSpot's tracking code runs on our website to identify visitors, track their activity across pages and visits, and help us understand how people interact with our site and our marketing.

What is collected: HubSpot's tracking code collects data from all visitors to our site, not only those who submit a form, including pages viewed, time on site, and general browsing behaviour. If you submit a form on our site, this browsing history may be linked to the contact information you provide (such as your name, email address, or phone number). If you interact with our chat widget, that conversation may also be logged and associated with your visitor record.

Cookies used: 

HubSpot sets the following performance cookies:

  • __hstc – tracks your visit history across sessions (domain, unique ID, first visit, last visit, session count). [13 months]
  • __hssc – tracks your current browsing session. [30 minutes]
  • __hssrc – indicates whether you have a new or existing session. [Session]

HubSpot sets the following Social Media & Tracking cookies:

  • hubspotutk – identifies you as a unique visitor and links your browsing activity to a contact record if you submit a form. [13 months]
  • messagesUtk – identifies you if you use our chat widget, so we can maintain your conversation across page views. [Retention varies]

Why we use it: This data helps us understand visitor behaviour, follow up with people who submit forms or use chat, and improve our marketing and sales communications.

Who receives it: HubSpot, Inc. processes this data on our behalf as a data processor, under HubSpot's own Privacy Policy and Cookie Policy.

Meta CRM Integration

In addition to browser-based tracking tools, we connect our CRM (HubSpot) directly to Meta Platforms, Inc. in the following ways:

  • HubSpot to Meta: We share lifecycle and deal stage data from HubSpot with Meta (e.g., whether a site lead became a customer). This data is matched using hashed contact details (such as hashed email addresses or phone numbers) to measure campaign ROI and optimise our advertising. This server-to-server synchronisation only processes data for visitors who have accepted non-essential cookies via our website cookie banner. You can object to this processing at any time by emailing dpo@mo-sys.com.
  • Meta to HubSpot: Where you submit a lead form directly within Meta platforms (such as Facebook or Instagram Lead Ads), that personal data is transmitted securely to our HubSpot CRM to fulfil your request. We also import aggregated campaign performance metrics into HubSpot; this reporting data contains no identifiable personal information.

Leadinfo

We use Leadinfo B.V. ("Leadinfo"), a company based in Rotterdam, the Netherlands, as a lead-generation service. Leadinfo identifies which companies, not individual people, are visiting our website, based on IP addresses, and shows us related publicly available business information such as company name, relevant LinkedIn profiles, and addresses.

What is collected: Leadinfo processes the IP address of your visit and matches it against publicly available business databases to identify the organisation it belongs to (for example, recognising that a visit came from "Example Ltd" rather than a named individual within that company). Where you submit a form on our site, Leadinfo may also process the domain of the email address provided (e.g. "example.com" from name@example.com) to help correlate the visit with the correct company record. Leadinfo does not identify, profile, or track you as an individual.

Cookies used: Leadinfo cookies are used to obtain insight into how visitors use our website. Leadinfo places the following performance cookies, subject to the visitor's permission:

  • _li_id.xxxx — identifies whether a visitor is new or returning. This cookie is used only during the current session.
  • _li_ses.xxxx — records the pages a visitor has visited during their session. This cookie is retained for two years.

These cookies are not linked to other information and are not shared with other parties. Leadinfo's company identification is primarily based on the visitor's IP address.

Why we use it: This helps us understand which businesses are engaging with our website, so we can direct our sales and marketing outreach more effectively toward relevant organisations. It does not involve targeting or profiling individual visitors.

Legal basis: Leadinfo's identification of the company behind a visit is based solely on matching IP addresses against publicly available business databases and does not itself require any cookies. We rely on legitimate interest as the legal basis for this part of the processing, since it operates at a company level and does not identify individuals. However, the two cookies listed above (_li_id.xxxx and _li_ses.xxxx) are used to provide additional analytics, and consent is required for these as they are gated in the same way as our individual-level tracking tools (such as Meta and HubSpot), and will not be set until you accept non-essential cookies.

Who receives it: Leadinfo B.V. processes this data as a third-party processor on our behalf. Further information is available at Leadinfo's Privacy Statement.

Retention: Leadinfo does not store your IP address directly. It is matched against business databases at the point of collection and is not retained or made visible to us. The resulting company-level match data is retained by Leadinfo for as long as our licence with Leadinfo remains active and is deleted within 30 days of account closure (subject to limited legal exceptions, such as billing records). The two cookies above are retained for periods set by Leadinfo; details are available on request from us or directly from Leadinfo's own documentation.

Leadinfo's IP-based matching specifically can be separately opted out of at Leadinfo Opt-out, independent of your cookie preferences below. If you opt out there, Leadinfo will no longer process data associated with your visits at all.

Your Cookie Choices

When you first visit our website, we present a cookie banner that allows you to accept or decline non-essential cookies (analytical, functionality, and targeting cookies, including those used by Meta, HubSpot, and Leadinfo). Strictly necessary cookies are set without consent, as they're required for the site to function.

You can review and change your cookie choices at any time via our Cookie Preferences Centre where you can:

  • Accept or decline all non-essential cookies at once, or
  • Customise your choices by category (Performance, Social media & Tracking).

If you decline or withdraw consent for a category, we will stop setting the relevant cookies and sending the associated data (including to Meta, HubSpot, and Leadinfo where applicable) going forward. This will not affect data already collected before you changed your preference.

You can also block cookies directly through your browser settings, which will refuse some or all cookies regardless of your choices here. If you block all cookies, parts of our site may not function properly, and some services may be unavailable.
